Introductory Word 365 training

All Introductory Word 365 training course outlines can be tailored to meet the needs of the individuals or organisation.

Aims of the course

This course aims to introduce delegates with little or no understanding of the Microsoft Word software to the basic features of the package.

Course Objectives

On completion of the course delegates should understand and be able to accomplish basic operations associated with creating, formatting and finishing a word processing document ready for distribution. They should also be able to use some of the more advanced Microsoft Word applications including:

  • Creating standard tables
  • Using pictures within a document
  • Importing objects
  • Using mail merge tools

The course is of one day’s duration.

How the course is run – This instructor-led course has a hands-on approach, with plenty of opportunity for delegates to practise the new skills they learn at the computer.

Pre-requisites – Delegates attending the Introductory Word 365 training course should preferably have a basic understanding of the Windows environment and use of the keyboard and mouse.

Getting Started

  • First Steps with Microsoft Word – opening, creating a new document, saving, closing, using Help functions
  • The Recent Documents list
  • Converting files
  • Compatibility Checker
  • Switching between open Word documents
  • Saving documents as pdfs

Adjusting Basic Settings

  • Changing between page view modes
  • Using magnification/zoom tools
  • Working with the Word Ribbon
  • The Quick Access Toolbar
  • Displaying/ hiding non-printing characters
  • Modifying basic options in Word 365 – user name, default folders for opening and saving documents

Basic Operations

  • Inserting text
  • Selecting text – a character, word, line, sentence, paragraph or entire document
  • Using the Undo and Redo options
  • Copying, Moving, Deleting
  • Finding and Replacing Text
  • Inserting Special Characters and Symbols

Text Formatting

  • Changing text appearance: font sizes and types
  • Applying text formatting such as bold, italic and underline
  • Applying subscript or superscript to text
  • Applying case changes to text
  • Applying different colours to text
  • Copying formatting from one piece of text to another
  • Applying an existing style to a word, line or paragraph

Paragraph Formatting

  • Inserting and removing paragraph breaks
  • Aligning text left, centre, right or justified
  • Indenting paragraphs: left, right, first line and hanging
  • Applying single or double line spacing within paragraphs
  • Page numbering
  • Setting, removing and using left, centre, right and decimal tabs
  • Applying and removing bullets and numbers to a single level list
  • Changing the style of bullets and numbers
  • Adding borders to paragraphs

Document Formatting

  • Changing the orientation of a document to portrait to landscape
  • Changing the margins of a document
  • Inserting and deleting page breaks in a document
  • Adding and modifying text in headers and footers
  • Adding fields such as date, page number and file location to headers and footers
  • Applying automatic page numbering to a document


  • Creating a table ready for text insertion
  • Entering data in a table
  • Selecting rows, columns, cells or the entire table
  • Inserting and deleting rows and columns
  • Modifying column widths and row heights
  • Modifying cell border width, style and colour
  • Adding shading to cells

Pictures and Images

  • Inserting a picture, an image or a chart into a document
  • Selecting a picture, image or chart in a document
  • Duplicating a picture, image or chart within a document or between open Word documents
  • Moving a picture, image or chart within a document or between open Word documents
  • Resizing a picture, image or chart
  • Deleting a picture, image or chart

Mail Merge

  • Understanding the term mail merge and the concept of merging a data source with a main document such as letter or label document
  • Opening and preparing a document for a mail merge by inserting data fields
  • Opening and preparing a mailing list or other data file for use in a mail merge
  • Merging a mailing list with a letter or label document

Preparing for Printing

  • Checking spelling
  • Adding words to a built-in custom dictionary
  • Previewing a Word document


  • Choosing what to print – the whole document, specific pages and how many copies
  • Printing a document from an installed printer using default settings or defined settings
